Administrative Assistant/Resort Front Desk Agent
Job Description: Must be willing to do Administrative Assistant duties as well as cover the front desk. Schedule is Monday-Friday 9am-5pm
Administrative Assistant
Provides organizational and administrative support to department(s) and its executives. Inputs and
retrieves work related information contained in computer databases to update records,
files, reservations, etc. Addresses inquiries from team members via telephone, Microsoft
Teams and/or in person. Transmits information or documents using a computer, mail, or fax machine.
Prepares letters, memos, and other documents using e-mail, word processing, spreadsheet, database, or
presentation software. Processes incoming and outgoing mail. Creates and maintains computer and
paper-based filing and organization systems for records, reports, and documents. Compiles, copies, sorts,
and files records of departmental activities and business transactions.
Follows all company policies and procedures, ensures uniform and personal appearance are clean and
professional, maintains confidentiality of proprietary information, and protects company assets.
Welcomes and acknowledges all business associates according to company standards, anticipates and
address managements service needs. Communicates with others using clear and professional language,
prepares and reviews written documents accurately and completely, and answers telephones using
appropriate etiquette. Develops and maintains positive working relationships with others, supports team
to reach common goals, and listens and responds appropriately to the concerns of others. Performs
other reasonable job duties as requested by Manager.
Key Duties/Accountabilities
- Takes notes, minutes in business meetings, and provides detailed summary to reporting manager.
- Speaks to guests and co-workers using clear, appropriate, and professional language.
- Prepares and reviews written documents (e.g., daily logs, business letters, memoranda, reports),
including proofreading and editing written information to ensure accuracy and completeness.
- Answers telephones using appropriate etiquette including answering the phone within 3 rings,
answering with a smile in one's voice, using the callers' name, transferring calls to appropriate
person/department, requesting permission before placing the caller on hold, taking, and relaying
messages, and allowing the caller to end the call.
- Talks with and listens to business associates to effectively exchange information.
- Discusses work topics, activities, or problems with coworkers, supervisors, or managers discreetly
and in a professional manner.
- Supports all co-workers and treat them with dignity and respect.
- Handles sensitive issues with team members and/or guests with tact, respect, diplomacy, and
confidentiality.
- Moves, lifts, carries, pushes, pulls, and places objects weighing less than or equal to 10-15 pounds
without assistance.
- Enters and locates work-related information using computers and/or point of sale systems.
Front Desk Agent
Responsibilities:
- Meet and greet owners and guests at check-in
- Register incoming owners and guests
- Receive and record rental payments
- Maintain inventory of reservations and current unit status
- Answer owner and guest inquiries regarding resort
- Present statements of charges to owners and guests
- Compile and record specific resort and other miscellaneous documents
- Provide information about local businesses and attractions
- Create and maintain housekeeping schedule
- Answer all phone calls and assist owners/guests with any questions or concerns
